VIDEO CONFERENCING TIPS FOR BEGINNERS

With every company in the mood of cost cutting and looking after their expenditure through a microscope gone are the days of people traveling on official business. It is far more cheaper and effective to use video conferencing instead. This enables less traveling, and cumbersome for all the parties involved.

After you have chosen the kind of video conferencing that you are going to use there are some things that you must keep in mind. Let us have a look at few of those points:

  1. Ensure that you have all the equipment in place and you know how to use it. You could run a pilot with a colleague or friend before that important meeting.
  2. Ensure that you speak clearly, slowly and loudly. The more you do so of these things the better it will be for you as you will not have to repeat yourself several times which in turn will undermine your confidence.
  3. If you are done with the microphone for a while, do not leave it running on. This will result in an echo being created which will affect the sound quality.
  4. Ensure that the place you have arranged for the video conference is secluded and away from the usual office din. This will enable both the parties to conduct their business efficiently and quickly.
  5. Maintain eye contact with the camera and the person you are speaking with. The person at the other end will feel the due importance and also be alert. Thereby the meeting will get over quickly after the necessary points have been discussed.
  6. Familiarize yourself with the technology and the equipment. The equipment and the technology might have several options to it. Try and get yourself familiar with each of these. Have a plan B ready in case technology does not support plan A. This way if things go wrong initially you will have something else to fall back up on without panicking.
  7. Be careful when you use the mute button. There might be times when you think you are on mute but you might not be. Hence, either avoid the mute button completely or use it with utmost care.
  8. Adjust the image quality before the video conference. This will ensure that the people will be able to see you clearly and so will be the case with you.
  9. It is certainly a good idea to have a room specifically for video conferencing. This will have all the technology and par aphelia set up there once and for all and you will not have to do that over and over again. There should be least background sounds and distractions. Avoid a very bright room as that will form shadows.

Once you have used video conferencing once or twice you will be able to maneuver your way around the equipment and the technology.

There is nothing to fear from the latest that technology has to offer us once you have mastered its use.
